GENERAL DESCRIPTION OF POSITION

The Group Sales Manager works with and under the direction of the Tourism Director to manage and coordinate all aspects of selling Edmond to groups that will utilize local facilities and lodging. They work closely and proactively with meeting planners to ensure organizations view Edmond as a conference destination and to ensure groups have the resources necessary for successful events.

This position is responsible for researching and identifying new market opportunities, and developing and implementing strategies with the objective of attracting meetings, conferences, tradeshows, events, tournaments, and leisure visitors. The Group Sales Manager is also responsible for soliciting businesses to purchase print and online advertising.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Develop and implement an annual sales plan to solicit meeting planners and event organizers to use Edmond facilities, hotels, and/or vacation homes for their meeting, conference, tournament, or event(s). Strategically identify and develop qualified leads from external targeted market segments. Every month, evaluate new sales leads that are a good fit for new Edmond business conferences, events, and sports tournaments. This duty is performed weekly, about 40% of the time.

2. Communicate frequently with Edmond hotels, vacation homes, the conference center, sports facilities, and meeting space providers. Personally visit these important partners quarterly. This duty is performed daily, about 15% of the time.

3. Connect with businesses to sell advertising annually in the printed Travel Guide and year-round on www.VisitEdmondOK.com. This duty is performed as needed, about 10% of the time.

4. Attend and actively network at functions of professional organizations including but not limited to: the Oklahoma Hotel & Lodging Association (OH&LA), the Oklahoma Society of Association Executives (OSAE), the Oklahoma Travel Industry Association (OTIA), the Edmond Area Chamber of Commerce, and the Oklahoma Tourism and Recreation Department (OTRD). In addition to other tasks associated with this duty, make outside sales calls to meeting planners, travel & industry trade shows, familiarization tours, and other sales groups. This duty is performed as needed, about 10% of the time.

5. Maintain data relating to all sales efforts, leads, and correspondence in the Simpleview CRM, and report monthly results. Submit City of Edmond "pre" and "post" travel and expense reports as required. Complete invoicing and billing duties. This duty is performed daily, about 10% of the time.

6. Assist with office coverage to maintain standard hours of being open to the public. This duty is performed daily, about 5% of the time.

7. Maintain a well-informed working knowledge of Edmond attractions, venues, sports facilities, and meeting spaces. Update Simpleview CRM as needed. Act as a liaison between these entities and the event coordinator and visitors. This duty is performed as needed, about 10% of the time.

8. Attendance at work is an essential job function of the position.

9. Perform any other related duties as required or assigned.

Requirements

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

Broad knowledge equivalent to a four-year college degree, plus 5 to 7 years of experience and/or training in direct sales, account management, sales presentations, and trade show exhibiting, or an equivalent combination of education and experience.

REQUIRED CERTIFICATES, LICENSES, REGISTRATIONS

Must possess a valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier.

If applicable, must be able to achieve the required level of NIMS proficiency based on position.

PREFERRED EXPERIENCE, CERTIFICATES, LICENSES, REGISTRATIONS

Bachelor’s degree in hospitality management, business, sales, or marketing. 

Experience with outside sales for hotels, conferences, and/or meeting spaces.

SOFTWARE SKILLS REQUIRED

Intermediate: Accounting, contact management, database, other, Excel, Microsoft Word

Basic: PowerPoint, Microsoft Teams, Google Drive, Google Sheets, Google Docs, Adobe PDF

Preferred: knowledge of Simpleview CRM

Regular use of complex machines and equipment (desktop/laptop computer and software, etc.). Must be comfortable working on a Microsoft Surface Laptop.

Regular contacts with patrons where the contacts are initiated by the employee. Involves both furnishing and obtaining information and, also, attempting to influence the decisions of those persons contacted. Contacts of considerable importance and of such a nature that failure to exercise proper judgment may result in important tangible or intangible losses to the organization.

EMPLOYEE CONTACT

Contacts with other departments or offices and frequently with individuals in middle level positions, including consulting on problems which necessitate judgment and tact in presentation to obtain cooperation or approval of action to be taken. Also establishes important contacts with associates as required in advanced supervisory jobs.

-Must have excellent English composition abilities and be able to accurately spell and type.

-Must be able to think strategically about sales and service activities and interact tactfully with meeting planners, city leaders, stakeholders, and other tourism partners to represent Visit Edmond in a welcoming and professional manner.

-Must be service orientated—actively looking for ways to help people, creative and innovative ideas to keep up with the moving trends in the meetings and events profession. 

-Must have an understanding of the hospitality, tourism, and visitor development industry.
